Today we’d like to introduce you to Celenia Inez Muller-Roman.
Hi Celenia Inez, it’s an honor to have you on the platform. Thanks for taking the time to share your story with us – to start maybe you can share some of your backstory with our readers?
Thank you for having me! I’ve been in healthcare for over 25 years, my journey began when I was a sophomore in high school. My teacher and mentor helped me land my very first medical job at a local clinic as part of her career class. That was my introduction to healthcare, and from that moment, I knew this was where I belonged.
Over the years, I’ve had the privilege of working in some of Massachusetts’ top hospitals and gaining hands-on experience across many settings. From Neonatal Intensive Care Unit and Labor and Delivery to ICU care, Detox Centers, Mental Health, Family Medicine, Medical Assisting, and Phlebotomy, I’ve worn many hats. Those experiences gave me a deep understanding of patient care, practice operations, and the daily challenges medical professionals face.
When COVID hit, I was furloughed like so many others. Burnt out and uncertain, I was approached by a well-known provider I’d worked with for more than a decade. She was taking a leap of faith to launch her own Direct Primary Care (DPC) practice and invited me to join her. That decision changed everything. I discovered a model of care that prioritized patients over paperwork and quality over quantity- a membership approach where insurance no longer dictated treatment. It opened my eyes to just how broken the traditional system had become.
Shortly after, I made a life-changing move from Massachusetts to Florida, and that’s where CIVA LLC was born. With guidance from a dear physician friend I began to understand the business side of healthcare. Word spread quickly through referrals, and I realized I could turn my skills into a business of my own.
Today, as a seasoned Virtual Medical Administrator / Practice Manager and Business Owner, I combine my clinical background, organizational expertise, and passion to help practices thrive. CIVA empowers physicians to grow with balance and focus. I manage the behind the scenes chaos – so they don’t have to.
Alright, so let’s dig a little deeper into the story – has it been an easy path overall and if not, what were the challenges you’ve had to overcome?
Has it been easy? Not at all. But every challenge has shaped me into the person and business owner I am today.
I faced burnout, especially during COVID. Working in healthcare at that time was overwhelming-long hours, emotional exhaustion, and uncertainty. When I was furloughed, it forced me to re-evaluate my path. As scary as it was, it turned out to be the push I needed to create something new.
Starting CIVA wasn’t a walk in the park either. I had to learn the business side of things from scratch, build a network, and gain the trust of providers who had never worked with a Medical VA. There were moments of uncertainty but through hard work, resilience, and the support of my mentors and clients, I turned those challenges into opportunities.
Every struggle, from hardships to career shifts and self-doubt, has led me to this point. CIVA was built from real-life experience and a deep understanding of the struggles healthcare providers face. And that’s why I’m so passionate about what I do – I’ve been in the trenches; I know the struggles.
We’ve been impressed with CIVA, LLC, but for folks who might not be as familiar, what can you share with them about what you do and what sets you apart from others?
CIVA LLC is a medical virtual administration firm dedicated to helping Direct Primary Care (DPC), Functional Medicine and membership-model healthcare businesses run smoothly. I handle the behind-the-scenes details of running a practice – everything from practice management clinical and administrative services to EMR setup and onboarding, membership management, workflow coordination, and process improvement – so providers can stay fully present for their patients.
What sets CIVA apart is my 25+ years of clinical experience combined with a true understanding of the unique needs of DPC and private practices. I’m not just an administrator – I’ve worked in hospitals, labs, clinics and private practices so I know firsthand the challenges physicians face day to day. That insider perspective allows me to anticipate problems, create efficient solutions, and implement tools that actually work in a medical setting.
CIVA offers so many different solutions Whether it’s building a start-up clinic from the ground up or optimizing an established practice, my goal is to make operations seamless and sustainable.
Brand-wise, I’m most proud that CIVA stands for Celenia Inez Virtual Administrator- it’s personal, professional, and built on trust. CIVA is designed to help providers reclaim their time and energy so they can grow their practice and serve their patients without burnout.
I want readers to know that CIVA isn’t just about clinical and admin services it’s about partnership. When you work with me, you gain a trusted ally who cares as much about your patients and your success as you do. As a seasoned Medical VA and business owner, I have the unique pleasure of blending my expertise in healthcare and business operations to create a service that truly makes a difference.
We’d love to hear about any fond memories you have from when you were growing up?
One of my favorite childhood memories is hosting huge weekend sleepover parties with more than ten of my friends. My house was always full of laughter, snacks, and late-night games – we’d stay up way too late watching movies, sharing secrets, and making memories that still make me smile today. Those weekends were pure joy!
